Position Overview:

As the Program Assistant, you will provide direct program support to city-led children and youth programs.  Working with the Program Coordination team, you will serve as the administrative and planning backbone to the successful implementation of camps, after school programs, PD day, programs, youth programs etc.

 

Hours of Work: Up to 24 hours per week with flexible hours including afternoons, evenings and weekend programs and events.

Responsibilities:

  • Assists with the administrative requirements of children and youth programs; including but not limited to; manual development and printing, form updates, record keeping, compilation of reports and resident feedback, development of volunteer schedules, program report requirements from Active Net, staff training, responding to customer inquiries etc.
  • Organizes, distributes, orders and purchases program supplies.
  • Prepares trip schedules for approval and books trips once approved.
  • Organizes program transportation requirements.
  • Books special guests.
  • Liaises with staff from various facilities to secure facility bookings for programs (Aquatics, Sport, Community Centres.
  • Prepares program materials (program binders, forms etc.).
  • Assists with the implementation of program events that occur within the children and youth program.
  • Performs other related duties as assigned.

 

Requirements:

  • Minimum Grade 12 plus up to one-year post-secondary job-related courses such as recreation and leisure studies or related field.
  • Minimum 1 year job related experience including use of a Program Registration System (ActiveNet an asset).
  • Valid CPR Level “C” and Standard First Aid Certificate (or willing to obtain).
  • Access to reliable transportation and be able to travel to various work locations across the City. 
  • Demonstrated experience working with municipal programs for children and youth.
  • Willing to work flexible hours including evenings, weekends, holidays, March break, summer etc.
  • Excellent understanding of and skilled in the use of Microsoft Office.
  • Proven leadership skills and committed to working in a collaborative team environment.
  • Committed to the delivery of program excellence and quality customer service.
  • Strong interpersonal and communication skills.
  • An organized time manager with effective administrative skills.
  • Provide a satisfactory Police Reference Check (Vulnerable Sector) at your own expense as a condition of employment.
  • Reliable with a good attitude and employment record.
